Entry Details

Entry Fees

Standard entries close 11:59PM Friday 20th January 2012 or sooner if sold out. From 12:00AM Saturday 21st January 2012 a late entry fee of $20 per person applies (whether you are a 100km or a 50km rider).

Late entries close 11:59PM Friday 24th February 2012 or sooner if sold out.


Insurance

The organiser of the Event, AROC Sport, has public liability insurance cover. This does not include personal accident insurance for competitors. We recommend that you arrange your own personal accident insurance and ambulance cover before participating in the Event to cover any unforeseen personal costs you may incur due to ambulance trips, medical expenses or time off work due to injuries sustained whilst participating in the Event.


Transfers, Cancellations & Refunds

We understand that circumstances arise where you may no longer be able to participate in the event.

Transfer of Entry Online - up to 11:59PM Friday 24th February 2012

You may transfer your entry online to another person prior to 11:59pm Friday 24th February 2012. Note that this is arranged by you and does not involve the Event organisers or the Event waitlist (i.e. you must find and be in contact with this new person yourself and complete the transfer between yourselves online).

You need to sort out payment between yourself and the person taking your entry. The person who is taking your entry needs to fill in their details and pay a $10 administration fee online to complete the transfer.

From Saturday 25th February 2012 you are still able to transfer your entry however you will not be able to do this online. Instead the transfer is done at event registration on Friday 16th March 2012. See below for details.

Transfer of Entry from Saturday 25th February 2012

If you need to transfer your entry after Friday 24th February 2012 that is absolutely fine but please do not contact the event organisers. Instead, the transfer must be done at the event registration on Friday 16th March 2012 and will incur a $30 administration fee. No transfers are permitted on the Saturday morning of the event. If you are transferring your entry you do not need to come to the event registration. Instead, the person taking your entry must bring the following to the changes desk at registration:

  1. a copy of your event email confirmation;
  2. a copy of a brief email or letter stating you are transferring the entry to them;
  3. $30 cash transfer fee; and
  4. a completed paper version of the online entry form. <Download Here>.

Transfer between 100km and 50km events

Transfers betwwen the 100km and 50km events can be made up until 11:59PM 24th February 2012.

The following fees will apply for transfers between events:

- Transfer from the 100km event to the 50km event: You receive a refund of the difference in entry fee less a $30 administration fee.

- Transer from the 50km event to the 100km event: You pay the difference in the entry fee plus a $30 administration fee.

No changes between the 50km and 100km courses will be accepted after 11:59PM 24th February 2012.

In the event that the Event course is, in the opinion of the Event organisers, unsafe (for example by reason of heavy rain, high winds, bushfires, "acts of god"), organisers may, in their sole discretion, attempt to re-route the course, find an alternative shortened course or cancel the Event. Organisers also reserve the right to cancel the Event for any other reason which may include but is not limited to terrorism and war. If the event is cancelled, re-routed or shortened, no refund or transfer to another event will be made. Due to the scale of the Event and travel & commitment involved by competitors, it is not practical to re-schedule the Event to any other weekend.

Merchandise

Merchandise will only be refunded up until 11:59PM Friday 20th January 2012 less a $5/item credit card fee. Size changes can be made up to Friday 20th January 2012 (eg if you transfer your entry and mechandise before this time you can change the jersey or cycling shorts size to the new person).


Payments & Security

Payment is made online, by credit card, through our secure site. We accept VISA, Mastercard and American Express. If you need to pay via an alternative manner contact us. All payments are processed in Australian Dollars (AUD).

When making a payment for an AROC Sport event, your financial details are passed through a secure server using the latest 128-bit SSL (secure sockets layer) encryption technology.
